This article covers the creation and use of secure workspaces

Workspaces allow you to tag, follow, and invite others within your organization and your partner's organizations to collaborate on an opportunity. These workspaces are one-on-one or one-on-many connections.

Govly workspaces allow you to:

  • Have multiple workflows within the same opportunity

  • Communicate directly with partners in the Govly network if you have partnered with them through the Govly platform

  • Have private workspaces that limit access to particular workspace collaboration

Default workspaces

Default workspaces are automatically created when someone Likes/follows (Thumbs up) an opportunity.

Default workspaces are not private, anyone from your organization can join it. Anyone who creates or joins a workspace is automatically notified of any changes to the opportunity, both those generated by the issuing customer (modifications, Q&A posts, cancellations) as well as any changes made by any members of the organization and any partners that have been invited to it.

Adding/removing followers

Clicking on a workspace will take you into that specific workspace where you can add or update followers and invite partners to join your workspace. The image below represents a typical workspace immediately following its creation.

Clicking on "Add/remove followers . . ." brings up some pick lists where you can invite members of your own team as well as any partners you are networked with.

Private workspaces

Remember, anything done within the default workspace can be seen by all, including any comments, changes in pipeline stage, and files uploaded to the workspace. If you would like to create a private workspace, that's only open it invited users, follow the steps below.

There are multiple ways to create a new, private, workspace.

  1. Find the opportunity and select the the ellipses (Shown in the first image below). Next, select "Create a new Workspace" and toggle the workspace to private as shown in the second image below.

2. The same process can be followed from within an opportunity. Simply select the "+" icon (highlighted below) to create a new workspace and then toggle the new workspace to private as shown directly above.

Workspace notifications

Whenever you change/update a workspace, you'll be asked whether you want to notify the other members of your workspace (first image below). You can also adjust each individuals notification preference for the specific workspace by selecting "Add/remove followers".

Workflow stages & collaboration dialogue box

Starting in the upper left you see the collaboration dialogue box. This box allows you to type notes, attached documents of various formats, and hyperlink to external assets. Below that you'll see an activity timeline documenting various workspace activities including procurement agency updates to the RFX and updates made to the workspace by Govly users. Moving to the upper right you'll see the various workflow stages.

Once workspaces are created, they can be monitored and searched for from your main Govly opportunities dashboard by using the "Following" or "Workflow Stage" menus located on the left side of your opportunities dashboard.
